Appendix F - Faculty Promotion Cycle


Faculty Promotion Cycle

March  Office for Academic Affairs sends to instructional deans/associate vice presidents/provost a list of faculty who are candidates eligible for promotion. 
  Office for Academic Affairs sends a memo to all eligible faculty, notifying them of their eligibility to begin the promotion cycle. The Portfolio Development Procedures to Support Promotion in Rank can be found on the intranet.

 

Faculty wishing to seek advancement in rank must respond to the eligibility memo by submitting an Intent Form to seek promotion to the Office for Academic Affairs by April 1. Upon receipt of the Intent Form, the candidate’s instructional supervisor will be notified.

  The instructional supervisor will work with the faculty member’s program manager/department chair to complete the Faculty Responsibilities and Performance Criteria Checklist for administrators to screen the applicant’s performance. The supervisor will meet with the faculty member to discuss the performance criteria checklist and the recommendation he/she will make to the vice president for Academic Affairs regarding the candidate’s eligibility for promotion based on performance. 
  Instructional supervisors will work with the candidate’s program manager/department chair to complete the Faculty Responsibilities and Performance Criteria Checklist for Administrators to screen the applicant’s performance. Instructional supervisors will meet with faculty to discuss the performance criteria checklist and the recommendation they will make to the Vice President for Academic Affairs regarding the candidate’s eligibility for promotion based on performance. 
April  The instructional supervisor will forward the Faculty Responsibilities and Performance Criteria Checklist to the Vice President for Academic Affairs. If a performance issue has been raised, the Vice President for Academic Affairs will meet with the candidate and the instructional supervisor to discuss the concerns and establish an improvement plan.
  Candidate will contact the Teaching/Learning Institute coordinator to schedule training in portfolio development.
May-October  Candidates complete portfolios. 
Oct. 15  Candidate submits portfolio to an assigned peer reviewer. The peer reviewer is a colleague who has completed the faculty promotion cycle successfully or who has served on the Faculty Promotion Committee. Candidates are also strongly encouraged to seek review within their department. Members of the department, who are familiar with the faculty member’s work can offer valuable feedback. 
Nov. 15  Peer reviewer completes the first review and contacts the candidate with suggestions. 
Dec. 1  Candidate submits portfolio to peer reviewer for a final review and to instructional supervisor for approval review. 
Dec. 15  Last day for instructional supervisor and peer reviewer to return portfolio to the candidate. The peer reviewer signs the Review Form indicating that he/she has reviewed the candidate’s portfolio and offered suggestions for the enhancement of the portfolio. 
Dec. 15-Jan. 14  Opportunity for the candidates to edit the portfolio prior to submission to the Office for Academic Affairs. 
Jan. 15  Completed portfolios must be submitted to the Office for Academic Affairs and are made available to the Faculty Promotion Committee. 
Jan. 16- Feb. 15  Faculty Promotion Committee reviews portfolios and submits recommendations for advancement in rank to the vice president for Academic Affairs. 
Feb. 16 Candidates are notified of initial Faculty Promotion Committee recommendations. Candidates can either accept the recommendation of the Faculty Promotion Committee or indicate they will resubmit the portfolio. If the candidate accepts the recommendation of the Committee, no other action is necessary.
Feb. 19- March 1 Following feedback from the Faculty Promotion Committee, the candidate revises the portfolio, and submits the updated portfolio to Office of Academic Affairs and the Faculty Promotion Committee for reconsideration.
March 2-15

Faculty Promotion Committee reviews updated portfolios and issues recommendations for advancement in rank to the Office of Academic Affairs.

April 1-14  Vice President for Academic Affairs sends recommendations regarding faculty for promotion in professional rank to the President. 
  Vice President for Academic Affairs and appropriate instructional supervisor meets with each faculty member who resubmitted a portfolio in the Faculty Promotion Cycle to discuss the final recommendation made regarding rank advancement or denial. 
Middle of April  President recommends for approval to the District Board of Trustees the faculty selected to receive promotion in professional rank. 
End of April  Faculty members who are recommended for advancement in rank attend the April District Board of Trustees Board Meeting to be recognized. 
By April 30  Faculty who participated in the process and did not receive a promotion may submit the Intent Form to the Office for Academic Affairs to continue work on his or her portfolio for advancement in rank consideration in the following academic year. 
July 1  Advancement in rank becomes effective.
